Organica is currently looking to fill the position of an Executive Assistant to the CEO.
Position Summary
This position will provide high-level administrative and strategic support to the Chief Executive Officer in a dynamic wastewater treatment organization. This role ensures the CEO’s time is optimized for strategic priorities by managing complex schedules, coordinating communications, and facilitating cross-functional initiatives. The EA acts as a trusted partner and gatekeeper, handling sensitive information with discretion, professionalism and confidentiality.
Key Responsibilities
- Executive Support
- Manage and optimize the CEO’s calendar, scheduling internal and external meetings, resolving conflicts.
- Serve as the primary point of contact for the CEO with internal teams, board members, regulatory agencies, and external stakeholders.
- Track progress on key organizational priorities and provide status updates to the CEO.
- Process expense reports, manage vendor contracts, and maintain accurate records for audits and compliance.
- Meeting Preparation & Follow-Up
- Prepare agendas, briefing materials, and presentations for board meetings, regulatory reviews, and strategic sessions.
- Attend meetings as needed, take minutes, track decisions, and ensure timely followup on action items.
- Travel & Logistics
- Coordinate complex travel arrangements for conferences, site visits, and industry events, including transportation, lodging, and expense reconciliation.
- Communication Management
- Draft, review, and manage executive communications (emails, memos, reports) ensuring clarity and alignment with organizational goals.
- Maintain confidentiality and professionalism in all correspondence.
Required Qualifications
- Bachelor’s degree in Business Administration, Environmental Management, or related field.
- 5+ years of experience supporting senior executives; experience in utilities or environmental services preferred.
- Proficiency in MS Office Suite and collaboration tools (Teams, SharePoint). A must have
- Strong organizational, communication, and problem-solving skills. A must have
Preferred Qualifications
- Familiarity with wastewater treatment operations and regulatory compliance.
- Experience in project management and stakeholder engagement.
- Ability to work in a fast-paced, mission-driven environment.
