EQUAL OPPORTUNITY POLICY FOR TRANSGENDER PERSONS (EO POLICY)
PREAMBLE AND OVERVIEW
At Organica Water Solutions India Private Limited, a company incorporated under the Companies Act 2013 and having its registered office at Regus Business Centre, Tower B 10th Floor, Unitech Cyber Park, Sector-3, 9, Gurugram, Haryana, India, 122001 (hereinafter referred to as “Company”/”We”/”Organica Solutions”), we are committed to creating an inclusive and diverse workplace where everyone feels valued and empowered. We maintain a safe and supportive environment tailored to the needs of all employees, including transgender persons, in accordance with the Transgender Persons (Protection of Rights) Act, 2019 (hereinafter referred to as “Act”) and the Transgender Persons (Protection of Rights) Rules, 2020 (hereinafter referred to as “Rules”). We believe
that embracing diversity and inclusion is key to driving innovation and fostering a thriving workplace. The Company is committed to promoting diverse views and perspectives and does not discriminate any individual based on age, race, national origin, ethnicity, cultural and geographical background, gender, sexual orientation, religion, marital status, any medical conditions, or any other personal or physical aspect.
DEFINITION AND SCOPE OF THE POLICY
As defined in the Act, “transgender person” means a person whose gender does not match with the gender assigned to that person at birth and includes trans-man or trans-woman (whether or not such person has undergone Sex Reassignment Surgery or hormone therapy or laser therapy or such other therapy), person with intersex variations, genderqueer and person having such socio cultural identities as kinner, hijra, aravani and jogta. This EO Policy ensures equal employment and non-discriminatory rights for all employees including transgender persons whether permanent, temporary, contractual, interns, trainees, consultants, job applicants, prospective employees, directors, officers, senior management or any third parties engaged with Organica Solutions. We are committed to ensure non-discrimination in recruitment, promotion, remuneration, employment benefits, salaries, transfers, training, termination and other aspects of employment. The Company fosters a diverse, inclusive and equitable workplace. We do not allow discrimination or harassment on the basis of gender identity, sexual orientation or any LGBTQ status. Any discrimination in any employment related situation such as recruitment, promotion or use of facilities and harassment of any kind whether verbal, mental or sexual shall be strictly penalized.
DETAILS OF FACILITIES PROVIDED TO THE EMPLOYEES
Organica Solutions is committed to providing all necessary infrastructural facilities to ensure a safe and inclusive environment for all transgender employees including but not limited to the following:
1. Gender-Neutral Restrooms: We ensure the availability of gender-neutral restrooms in all office premises to cater to the needs of transgender employees.
2. Medical Facilities: We ensure access to medical facilities that cater to the specific health needs including counselling and support services of all employees including transgender persons.
3. Equal Access: We ensure that the infrastructural facilities, including cafeterias, lounges, and recreational areas, are equally accessible to transgender employees.
4. Amenities: We provide essential amenities to support employee comfort and well-being, including modern workstations, ergonomic seating, and well-equipped break areas. Employees also have access to wellness initiatives such the availability of hygiene products, promoting overall physical and mental health.
5. Dress Code: We ensure dress codes, if any, are flexible and gender-neutral.
6. Communication: We ensure usage of correct names, pronouns, and gender identifiers as communicated by the employee.
SAFETY MEASURES AND SECURITY
Organica Solutions has safety measures to protect transgender employees from any form of harassment,
abuse, or discrimination in the workplace. These measures include:
(i) A grievance redressal mechanism, which allows transgender employees to report any instances of discrimination or harassment including physical, sexual, verbal, emotional, or economic abuse without fear of retaliation.
(ii) Training and awareness programs for all employees, housekeeping and security staff to sensitize them about the rights and issues faced by transgender individuals, thereby fostering a more inclusive and respectful workplace culture.
(iii) Transportation facilities for the safety of its employees. The Company also ensures equal shifts of guards to maintain safety of its employees.
APPLICABILITY OF RULES AND REGULATIONS ON SERVICE CONDITIONS
Transgender persons shall be governed by the same service rules, policies, and conditions of employment as applicable to all other employees of the Company. They shall have equal access to all workplace facilities, amenities, and benefits, including ergonomic workspaces, wellness initiatives, and childcare support. The Company shall ensure that the methods in operation for determining rates of remuneration are consistently applicable and operational for all employees and are based on the principle of equal remuneration for persons of all genders for work of equal value. Hiring and remuneration of a person shall be based on merit, skill and competence.
CONFIDENTIALITY OF GENDER IDENTITY OF EMPLOYEES
Organica Solutions shall maintain strict confidentiality with respect to any information disclosed by an employee, including transgender employees, regarding their gender identity and/or sexual orientation, except where disclosure is required under applicable law. Transgender employees shall be addressed in accordance with their self-identified name, pronouns, and gender in all workplace interactions, including internal communications, email addresses, and official records. Any form of harassment, bullying, or discriminatory conduct based on gender identity is strictly prohibited. All complaints in this regard cam be made to the complaint officer and shall be taken seriously, promptly investigated, and appropriate corrective or disciplinary action shall be taken.
SENSITIVITY TRAINING AND AWARENESS:
Organica Solutions will conduct regular training programs to raise awareness about transgender issues
and promote understanding among employees.

The Complaint Officer shall acknowledge and enquire into the complaint within fifteen (15) days from the date of receipt of the complaint, in a fair, impartial, and confidential manner. Upon completion of the enquiry, the complaint officer shall submit a report along with recommendations to the board of directors of the Company, which shall take appropriate corrective or disciplinary action within fifteen (15) days from the date of submission of such report.
The Company is committed to ensuring timely and effective resolution of all grievances in accordance with the Act and the rules framed thereunder.
DISCIPLINARY ACTION
Any violation of EO Policy shall be treated as misconduct and may attract disciplinary action, including warning, suspension, termination, or other actions as deemed appropriate under the Company’s policies and applicable law.
ADOPTION, COMMUNICATION AND IMPLEMENTATION
The Company shall communicate this EO Policy to all employees, workers, consultants, and other persons engaged with the Company. This EO Policy shall be prominently displayed in English and in a language understood by the majority of persons working in or accessing the services of the Company at a conspicuous place in the premises of the Company. This EO Policy shall be made available on the Company’s website and hard copies of the EO Policy shall be made available.
PUBLICATION, REVIEW AND AMENDMENT
The EO Policy shall be displayed on the website or conspicuous place in the premises of the Company. It shall be reviewed periodically and may be amended by the Company to ensure continued compliance with applicable laws and best practices.
